Export content to Word, PDF, HTML, and XML

If you need your content accessible outside of Confluence Cloud, it can be exported to various formats, including Microsoft Word, HTML, PDF, and XML.

If you’re a space admin, you can export an entire space or a group of selected pages in a space. Anyone with the “Export” space permission can export individual pages. Learn more.

The page orientation of the standard exports to Word and PDF is portrait mode.  To change the orientation of the exported document, you'll need to customize the export function.

Export an individual page

To send a page or a blog post to people who don't have access to Confluence Cloud, you can export it as a Word document or a PDF.

To export to Word:

  1. Go to the page or blog post and select •••

  2. Hover over Export

  3. Select Export to Word

Due to the format of exported Word files, they can only be opened in Microsoft Word and aren't compatible with other applications like Open Office, Libre Office, or Google Docs.

To export to PDF:

  1. Go to the page or blog post and select •••

  2. Hover over Export

  3. Select Export to PDF

When you export a single page to PDF, the PDF stylesheet customizations are applied but PDF layout customizations aren't. To make your PDF layout customizations apply to a single page exported to PDF, you'll need to use the 'multiple page' method described below to export the single page. See Customize exports to PDF.

Only the published version will be exported
If there are any unpublished changes on the page or blog post you’re exporting, then they won’t be included. This means you can create exports even while people are still working on the page.

Export a space

Space admins can export a space (or a group of individually selected pages in a space) to HTML, XML, or PDF. Confluence will create a zipped archive of the HTML or XML files, or a single, downloadable PDF file.

Tip
The HTML export is useful if you want convert your space into a static website. The XML export option works best if you need to import the space into another Confluence site or use the data from the space in another application. The PDF option is good to use if you're trying to create a user manual from the technical documentation you keep in Confluence Cloud.

To export pages to HTML, XML, or PDF

  1. Select Space Settings from the sidebar. 

  2. Select Export space from the Manage space card.

  3. Select HTML, XML, or PDF, then select Next

  4. Select either a normal or custom export for HTML or PDF, or a Full or Custom XML export:

    • Normal Export (HTML and PDF) – to produce an HTML file containing all the pages that you have permission to view.

    • Full Export (XML) – to produce an XML file containing all the pages in the space, including those that you don't have permission to view.

    • Custom Export – if you want to export selected pages only, or if you want to exclude comments from the export.

  5. Select Export

When the export process has finished, you can download the zipped archive or PDF.

Some things to keep in mind with this method

Blog posts aren't included when exporting to PDF using this method, and comments are never included when exporting to PDF.

XML exports do not include Team Calendars. See this Community post for tips on exporting and importing Calendars. 

Page comments are currently not being exported during HTML export. See the feature request CONFCLOUD-57908

Customize the appearance of PDF exports

You can add a title page, table of contents, and customized headers and footers to the PDF output. For more advanced customizations, you can apply Cascading Style Sheet (CSS) modifications. These customizations are specific to each space, and you need the 'Space Administrator' permission to apply these customizations. For more information, see Customize exports to PDF.

Notes on PDF exporting

  • To export a PDF containing international text, see Create a PDF in another language

  • The PDF export feature is designed to handle a wide variety of content, but on rare occasions the PDF Export process may fail due to an unrecognized customization. If that happens, the PDF export screen will indicate the title of the page in which the problem occurred, to help you diagnose the cause of the failure.

Notes on HTML exporting

  • In the zip file, page attachments are placed in individual folders with names in the following format:
    ...\download\attachments\xxxxxx
    where 'xxxxxx' is the page ID of the page containing the attachments.

  • Blog posts aren't included in the HTML export. See the feature request: CONFCLOUD-14684

Notes on XML exporting

Taking this export to Confluence Server? For best results, we recommend:

  • asking a Site Admin to perform the export, so that email addresses are always included, regardless of the user's profile visibility settings.

  • importing the space into Confluence 6.15.4 and later, or selected Enterprise Release versions, so that email address matching is available.

This will avoid content being attributed to ‘unknown user’ after the import. Learn more
